Announcement Docs Overview

The "Announcement Docs tab" is used to upload PDF and Text documents.

 

These documents will be disseminated to the public.  For SENS announcements, a PDF document and a Text document must be uploaded. The TEXT version of the announcement will be disseminated during the intra-day live feed. The PDF document will be available on the JSE's website 15 minutes after it was disseminated as a text field in the intra-day live feed.  

 

You have the choice to convert the PDF document to a .TXT document, or you can upload a .TXT document.

 

The following steps needs to be followed to upload documents successfully:

Fields in the Announcement Docs tab

Field

Description

File Name field

This field displays the name of the file. Click the file name to view the document.

File Size field

This field display the file size of the uploaded document.

Uploaded by field

This field displays the user name (login name) of the user that uploaded the document.

Version field

This field display the version number of the document.

Announcement Cycle Number field

This field display the submission cycle number in which the document was uploaded. For new submissions this would be zero.

Date Uploaded field

This field displays the date and time when the document was uploaded.

 

Procedure to upload PDF documents

Note: When a PDF file is uploaded and there is already an existing TXT file, the following message will be displayed: "Please make sure that the content of the PDF file corresponds with the content of the TXT file created or uploaded".

Click the SELECT button to search for the PDF file that you wish to upload.

Once you have selected the PDF file click the UPLOAD button.

Note:

  • If the PDF file size is below the accepted file size, no warning message is displayed and the PDF file will not need to go through the "File Size Approval process".

  • If the PDF file size is greater than the acceptable file size, a warning message will be displayed. The PDF file will need to go through the "File Size Approval process".

  • If the PDF file size is greater than the maximum file size (determined by the IRS Administrator), an error message will be displayed and you will not be able to continue. You will need to reduce the size of the PDF file.

The current file sizes are managed by the IRS Administrator and may change at the discretion of the Issuer Regulation department.

Example:

  • If the PDF file is below 2Mb, no warning is displayed and the "File Size Approval process" is bypassed.

  • If the PDF file is greater than 2Mb, but less than 14Mb, a warning message is displayed and the submission will go through the "File Size Approval process".

  • If the PDF file is greater than 14Mb an error message is displayed and the file will need to be reduced in size.

 

IMPORTANT: IRS can only disseminate one PDF file. You can, however, upload several versions of the same file, or different files, but IRS will only use the last file that you uploaded as the file to disseminate.

The message below will be displayed if an existing text document has already been uploaded.

  • Click the OK button to continue.

  • Click the CANCEL button to cancel this operation.

Refer to the section "System Familiarisation" for information on filtering the data displayed, selecting the data displayed, as well as moving from one page to the next.

As mentioned, you can upload several PDF files, but IRS will only use the last uploaded version as the one that will be disseminated to the public.

 

Procedure to view an uploaded PDF document

To view the uploaded document simply click the name of the document to view it.

The document will be displayed in a new window. You cannot edit the document.

Click the X button to close the window.

 

Procedure to delete an uploaded PDF document

Only the following users can delete a PDF document:

To remove a PDF file simply select it and click the DELETE SELECTED DOCUMENT button.

Note: The following message will be displayed: "Are you sure you want to delete the selected document?"

Click the OK button to delete the document or click the CANCEL button to cancel the operation.

 

Procedure to convert a PDF document to a Text document

To convert the PDF file to a text file, first select it and then click the GENERATE TEXT FROM PDF button.

Note: A message will be displayed asking you to confirm the action.

Click the OK button to proceed.

Note: A Disclaimer will then be displayed before the text editor opens.

You will need to acknowledge the disclaimer before you can continue by clicking the OK button.

With the 'text editor' displayed, make any changes required in the right-hand pane.

Click the SAVE FILES AND CLOSE button or click the CLOSE button.

Note:

  • If you click the SAVE FILES AND CLOSE button, the text document will be saved as a new version and you will be returned to the "Announcement Docs tab". The "Text Documents section" will display the text document that you just created.

  • If you simply click the CLOSE button, the 'text editor' will be closed without saving any changes made to the text document and you will be returned to the "Announcement Docs tab".

 

Procedure to upload a Text document

Click the SELECT button to search for the .TXT file that you wish to upload.

Once you have selected the file click the UPLOAD button.

Note: If the file was successfully uploaded you will receive the applicable message.

Procedure to view a Text document

To view the uploaded document simply click the name of the document to view it.

The text file will be displayed. You cannot edit the file by clicking on the File Name.

Click the X button to close the window.

 

Procedure to delete a Text document

To edit the document simply select it and click the EDIT SELECTED TEXT DOCUMENT button.

With the 'text editor' displayed, edit the information.

Click the SAVE FILES AND CLOSE button.

Note: To close the 'text editor' without saving the changes click the CLOSE button.

IRS will display the various versions of the file.

  • Version 1 refers to the initial file that was uploaded.

  • Version 2 indicates that the file was edited or a newer version was uploaded.
